We’ve been dreaming of hosting this market for a long time, so we’re thrilled the date is finally locked in - and even more excited that you’ll be joining us to give those beautiful pieces a second life! Whether it’s fashion, accessories, or other quality treasures you’ve been holding onto, this is the perfect chance to share them with a community that values style and sustainability.

Terms & Conditions

Event: Vintage & Designer Market
Venue: Phillip Island Winery
Date/Hours: Sunday 15 March, 10:00 am – 2:00 pm
Organiser: Phillip Island Winery ABN 51 215 680 228 (“Organiser”)

1) Acceptance & Scope

1.1 Participation is by invitation and approval only. Stalls are limited to quality pre‑loved vintage and/or designer fashion and accessories (“Approved Goods”). The Organiser may refuse or revoke participation at its discretion to protect event quality and safety.

2) Fees & Stall Inclusions

2.1 No stall fee applies for this Event.
2.2 Sites are approximately 3x3m, 6x3m or 9x3m (no power/water). Stallholders must bring all equipment (marquee, racks, tables, weights, signage).

3) Insurance, Risk & Indemnity

3.1 The Organiser will hold public liability insurance for the Event.
3.2 Own-Risk: The Stallholder attends and trades at their own risk. The Organiser is not responsible for loss, theft, or damage to the Stallholder’s property except to the extent caused by the Organiser’s negligence.
3.3 Indemnity: The Stallholder indemnifies and holds harmless the Organiser, its employees and volunteers from claims, losses, damages, costs and liabilities arising from the Stallholder’s acts/omissions, goods, equipment or breach of this Agreement.

4) Compliance & Standards

4.1 The Stallholder will comply with all laws, regulations and council directions, including product safety laws and any food safety requirements if offering consumables (permits must be displayed).
4.2 Electrical equipment must be safe and tag‑tested; gas appliances (if any) must be compliant. A small fire extinguisher/blanket is required where heat or electrical appliances are used.
4.3 Presentation & conduct: Stalls must be tidy, professional and staffed throughout trading hours. Rubbish must be removed by the Stallholder. Offensive, aggressive or unsafe behaviour is prohibited.

5) Product Rules

5.1 Only Approved Goods may be sold - authentic, good‑quality pre‑loved vintage/designer apparel, footwear, handbags and accessories.
5.2 Prohibited: Counterfeit/branded fakes, unsafe goods, items not aligned with the Event’s scope, and any goods the Organiser deems inappropriate. The Organiser may require removal of items.

6) Site Access, Setup & Pack‑down

6.1 Bump‑in: Vehicle access for unloading is between 8am - 9.45am as directed by staff. All vehicles must be moved to designated parking by 9am.
6.2 Marquees must be safely weighted (minimum 10–15 kg per leg); pegging only if authorised. Walkways must stay clear at all times.
6.3 Trading hours: 10:00 am–2:00 pm. No early pack‑down. Pack‑down and vehicle return only when the Event Manager declares it safe.

7) Weather, Safety & Event Changes

7.1 The Event proceeds rain or shine where safe. The Organiser may modify layouts, pause trading, or cancel for safety (e.g., severe weather, emergency, directions from authorities).
7.2 Force Majeure: The Organiser is not liable for costs, loss of sales or other damages arising from cancellations or interruptions outside its reasonable control.

8) Media, Photography & Branding

8.1 The Stallholder consents to reasonable photography/videography of the Event and their stall for marketing and publicity (including social channels and future event promotion).
8.2 The Stallholder will promote their attendance at the Event through social media, with the Organiser tagged in any promotional activity.

9) Cancellation & No‑Shows

9.1 As places are limited and complimentary, 7 days’ notice is requested for cancellations so we can reallocate.

10) Termination

10.1 The Organiser may immediately terminate this Agreement and/or remove the Stallholder for breach, unsafe practices, selling unapproved goods, or behaviour likely to harm patrons or the Event’s reputation.
